Part Time Office Manager/Bookkeeper Job Available in Lee, MA.

Salary: $22-$27.50/hr, Plus Benefits

Schedule: Mon-Fri 9:30a-2:30p, Start/end time somewhat flexible


TEC is recruiting for an Office Manager/Bookkeeper for a private condominium/town house property in Lee, MA. The job entails ensuring that the Condominium operations run smoothly. This position is the face of the complex and will work with four groups daily: the Board, the Facilities team, the Owners, and the Vendors.


Operations Management

  • Ensures important operational tasks are completed smoothly and without operations interruption
  • Ensures all reports are accurate, on time and filed properly
  • Supports enforcement of Board policies and company rules
  • Maintains a neat, orderly, and clean office building environment and ensures that all facilities, equipment, and systems are in working order
  • Coordinates with property manager and outside contractors regarding maintenance work on buildings, roads, systems and land to ensure the property is safe for all residents and guests
  • Maintains list of potential renters and/or buyers for distribution to owners
  • Provides related documents for real estate transactions
  • Responsible for office building cleaning (vacuuming, light dusting, 2 bathrooms)


Financial Management

  • Office Manager is given the responsibility of handling and processing all Board financial business at the highest level of confidentiality
  • Ensures all employees are paid accurately and on time\Ensures workers compensation and insurance premiums and taxes are paid on time
  • Assists in drafting budgets, collecting maintenance fees, fines, fees and assessments, preparing bills for maintenance fees, fines, fees and assessments, scheduling audits and reviews, scheduling contractors, professional meetings, preparing financial statements and tax returns and tracking the Condominium 's operating and reserve funds
  • Bookkeeping responsibilities include accounts receivable and payable, payroll, expense reimbursements, employee time records, including PTO, and securing signature(s) of Board for all checks/disbursements
  • Secures Board members signature(s) for checks/disbursements
  • Advises the Board and assist in preparing long term reserve fund needs and operational budgeting
  • Responsible for ensuring that the appropriate indemnity forms are submitted to the office from the contractor


Minimum Qualifications and Skills

  • Strong oral and written communication skills basic accounting, reporting and bookkeeping skills
  • Proficiency with QuickBooks On-Line accounting, and payroll systems and internal controls, accounts payable and receivable.
  • Proficiency with ZOOM or other comparable video conferencing platforms
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Tracking budgets
  • Developing standards and procedures
  • Inventory control
  • Detail oriented
  • Works in a timely fashion and collaboratively with Board Treasurer
  • Current Notary Public or willingness to become one


Education and Experience Minimum Requirements

  • Minimum two years of college or 5-7 years equivalent work experience
  • Two to three years’ experience in an office setting as a bookkeeper or accounting manager
  • Previous Condominium Office Management a plus.
  • Fully vaccinated 
  • College: 2 years (Preferred)
  • QuickBooks On-Line: Required
  • Work Location: In person
