Program Coordinator Job Opportunity in Pittsfield, MA

Location: Pittsfield, MA

Job Type: Direct Hire

Salary: $55k – 57k depending on experience

Benefits: Competitive package with 7 weeks PTO


TEC is recruiting for a Program Coordinator to join a local non-profit in the Berkshires. This candidate will be responsible for the assisting and coordination of administrative/clerical duties for the Medical Director and Psychiatric Providers. The perfect candidate will need to have a high level of organization, customer service, the ability to work well under pressure, and be well versed in all office aspects.                             


Job Duties

  • Provide administrative support for the Medical Director
  • Help manage and maintain prescriber schedules
  • Provide administrative support for the following areas: prescriber schedules, contact with existing and new grant contacts, contact with local health administration and psychiatry department, contact with other community agencies and programs
  • Maintain confidentiality regarding meetings, files and documents
  • Receive and direct phone calls, providing general information about psychiatric services including medication assisted treatment
  • Open, sort and distribute incoming correspondence including mail and faxes
  • Prepare reports, memos, letters and other documents using word processing, spreadsheet, database or presentation software
  • Manage Medical Staff meeting and meeting schedule, as well as any associated tasks, and prescriber on-call schedule
  • Solicit input and prepare draft agendas for upcoming Medical Staff meetings and other meetings
  • Record, prepare and distribute minutes from medical staff meetings
  • Communicate with Executive Assistant for CEO as well as senior leadership as needed to coordinate meeting schedules
  • Develop and maintain good working relationships with all relevant local governmental bureaus, agencies and authorities
  • Maintain records of time off for prescribers
  • Maintain office efficiency, plan and implement office systems


Qualifications

  • HS/GED required. College degree preferred
  • A minimum of 3 to 5 years of experience in administrative and executive support


 Skills

  • Strong computer skills - Microsoft Office software which includes Word, Excel, Outlook, Access, PowerPoint & Publisher
  • Excellent customer service skills
  • Excellent oral and written communication skills required
  • Strong attention to detail
  • Ability to organize, prioritize workload
  • Ability to multi-task reporting to a number of supervisors

  • Ability to work under pressure and interact with the public
  • Support and maintain the principles and policies of the agency
  • Flexibly respond to the needs of the Executive staff
  • Represent the agency in a professional manner in all community contacts
  • Criminal Offender Record Information check (CORI)
  • Driver’s License (RMV) check
